Tips on Conference Planning

Start early

Planning a conference, even a relatively modest one, takes a great deal of effort. So the best advice is to start early - not simply because the venue that suits you best may be booked months in advance - but because organising a successful event means planning in detail. The worst possible thing is knowing what you want to achieve, and then running out of time to achieve it.

The big things are easy

They say it's the small things that make a difference, and that's just as true when you're planning a conference. Most venues, certainly all those we recommend, have the larger things down to a fine art, so they'll be able to cater for large numbers, be skilled at setting up rooms just how you need them and used to sudden changes of plan. What delegates most often remember however are the details that go wrong, like a coach delay that leaves them standing in the rain, or no pens and pads in the conference hall, or their name spelled incorrectly on a badge. Don't forget the little things, they're often the most important.

Visit the venue

If you've any chance at all, visit the venue. Walk the routes your delegates will have to walk to see how long it takes, then add a few minutes for good measure. Don't take signage for granted - too much is far better than too little - and there's nothing worse than being lost and late in an unfamiliar hotel.
